Venue Booking Conditions
1..A non-negotiable deposit of 25% of the agreed price for services is required to secure your venue booking. The deposit is non-refundable in the case of cancellation by the customer. We accept payment by bank transfer to Northlands Leisure

2. A provisional booking can be made by email or in writing and your dates will be reserved for 7 days. A booking must be confirmed in writing by entering your details and signing the form and then returning this form with payment of the deposit. Should this signed confirmation together with a deposit not be received within 7 days, then the provisional booking will expire.
3. Bookings will only be deemed to be confirmed once a signed booking form and payment of deposit are received.
4.If your event is a wedding, within 7 days of a confirmed booking, you must purchase wedding insurance by a reputable insurance company and provide evidence. (There is some info here - https://www.moneysavingexpert.com/insurance/wedding-insurance/)
5. You are responsible for acquiring a TENS license if you wish to carry out licensable activities such as having a band or a paid bar. We will do this on your behalf but you must request this in writing or via email. A £21 fee is payable to the council for a TENS license. We hold no responsibility if a TENS license is either not requested by you or if this license is refused by the council. You will be responsible for providing a copy of the TENS license to both the police and the Environmental Protection team at the council at least 2 weeks prior to the event.
6. Confirmation of the final number of guests attending your event must be advised 28 days prior to the event but, unless previously agreed, must not significantly differ (I.E less than 5%) from the numbers provided at the time of the booking.
7. The full balance of your event must be paid in full within 60 days prior to the event taking place. We accept payment by bank transfer to ‘Mr Keith Potts and Mrs Kerrie Potts Northlands Leisure’ (Details on request). We do not offer a credit facility and it is not possible to pay for your event after it has taken place. Failure to make full payment within 60 days of the event taking place will be deemed to be a cancellation on your behalf and subject to our cancellation terms as outlined in this agreement. 8. Additions to guest numbers within 28 days of your event must be made in writing and will be subject to agreement at the absolute discretion of Northlands Farm.
9. Where a booking involves activities on the Farm then it is the responsibility of the person named on the booking form, to ensure guests are aware of, and adhere to any special instructions given. All guests must be informed that there are electric fences around Northlands.
10. All extra accommodation bookings are separate to this contract and must be booked online. In order to provide total exclusivity on the event day, you must book out all accommodation on at least the day of the event PLUS the day after. This provides exclusivity on the day of the event/wedding. It is recommended to also book the accommodation fully the day before the event/wedding to provide 100% exclusivity of the venue.
11. The person whose name appears as primary contact on the booking form will be held responsible in all cases for any damage how so ever caused by any of the invited guests or suppliers.
12. Car parking at Northlands Farm is strictly on a ‘subject to availability’ basis and is located on the grass immediately to left of the inside of the gates. You must ensure that no guests are parked on any of the tarmac near the accommodation as we will be reserving this area for the bride and groom plus any guests staying in the accommodation. Parking will be offered to all attendees of your event if available. Parking is on a 'best effort' basis as we do not guarantee availability of parking spaces to accommodate an entire event. Northlands Farm shall in no event be liable to loss or damage to vehicles or items in the car park area. Vehicles are parked entirely at the owners risk. Unless previously agreed, no cars must be parked outside of the gates. If you are arranging coaches, then we will need to liaise with the coach company in advance and so you will need to put us in contact. Taxis MUST drop off and pick up inside the gate.
13. Northlands Farm cannot accept responsibility for any personal items left after an event. Storage space at Northlands Farm is limited and as such, personal items such as presents, cakes, props, flowers or table decorations stored for your convenience after an event will be at the total discretion of Northlands Farm. Any items that are stored will be held up to a maximum of 4 days after your event has taken place. Regrettably, we may dispose of personal items not collected after this time.
14. Smoking is not permitted in any Northlands Farm building, temporary facility or vehicle including your marquee. You must ensure your event venue layout includes an appropriate smoking area with ash trays.
15. Metallic foil confetti or glitter confetti must not be used inside any building (including the marquee) or thrown outside in any open space whilst on the site. Bio-degradable paper confetti, rice or rose petals must be used as an alternative. It remains the full responsibility of the primary contact on the booking form to ensure that all invited event guests are advised of and adhere to this policy. An additional clean-up charge of £250 will be billed to the primary contact where metallic foil confetti or glitter has been used.
16. We have farm animals on site and it is the entire responsibility of the booking contact to ensure that guests are kept safe by keeping a distance, not entering paddock areas, leaning over fences and not feeding or touching them by hand. To help keep your guests safe, we ask that your speaker addresses the audience at the earliest opportunity at the event.
17. The booking contact is fully responsible for procuring any necessary music licences and TENS license if applicable.
18. Extended Stay: In the event that you or anyone in your party does not vacate the Venue by the time set out in this contract, or such alternative time as may be agreed in writing with Northlands Farm, we reserve the right to recover any costs incurred as a result, and to charge commercial rates for the length of time that you remain in the Venue, up to a maximum of 25% of the Total Fee per hour that you are late in vacating the Venue.
19. Cancellation: A cancellation of any booking would result in a considerable loss for Northlands Farm due to the seasonal nature of the event business. In the unfortunate event that you do have to cancel your booking, you must let the venue know in writing as soon as possible. Please note that in the event that you cancel your booking, any deposit monies paid are non-refundable. If cancellation is within 60 days of the event then all monies are non-refundable. Where the final price has yet to be finalised (for example, because you have not yet confirmed additional services), we shall base the cancellation charges on any minimum numbers set out in our quotation. If a booking is cancelled by Northlands Farm due to the Venue failing to receive full payment at least 60 days prior to the event taking place, then any deposit or additional monies paid will not be refunded and you agree to pay the full 100% total of your event as outlined in the table of cancellation charges above. Northlands Farm will not be responsible for any disruption to the event due to the closure of the Property or Venue, failure to receive full payment of your event before taking place, or any restrictions of access that were unforeseen at the time of booking. Northlands Farm may need to cancel or alter the booking in circumstances beyond the reasonable control of Northlands Farm or where, in the reasonable opinion of Northlands Farm, it is necessary to perform or complete emergency works. If a booking has to be cancelled by Northlands Farm, it will take reasonable steps to offer an alternative booking date. An alternative date will not be offered when events have been cancelled by Northlands Farm due to failure to receive full payment prior to an event as outlined in these terms. Northlands Farm will not be liable for any losses caused by any type of cancellation or alteration. Whilst Northlands Farm will make every reasonable effort to ensure a cancellation does not happen, you must take out insurance cover against this occurrence. Northlands Farm will not be responsible for any disruption due to any suppliers, failure of equipment or electrical power. Any claims must be covered by event/wedding insurance.
20. Bookings are accepted on the basis that the nature and purpose of the Function is considered reasonable and appropriate by Northlands Farm. You must not use the Venue for any purpose other than for a reception or other event agreed by Northlands Farm. You acknowledge that the property must be treated with due care and respect at all times and that you are responsible for ensuring the proper respect of the property by you, your contractors, their staff and your guests. Any instructions or guidance given by Northlands Farm staff/owners must be strictly complied with. For any activities that Northlands Farm perceive to be a potential risk to the property you must produce valid risk assessments and insurance. Please note that breach of this provision may result in cancellation or termination by Northlands Farm (with no liability to Northlands Farm) and a forfeiture of the Deposit and balance.
21. Liability (Yours and Northlands Farm's): You will be liable to Northlands Farm for any damage and/or loss sustained by Northlands Farm or any third party as a result of any act or omission by you, your contractors, staff or invitees, including as a result of any breach of this Agreement. You are therefore responsible for your contractors, staff and invitees. Northlands Farm accepts no liability whatsoever for any loss (including loss sustained to any materials, equipment or personal possessions of the Hirer, its contractors, staff or invitees). Northlands Farm will not be liable for any losses that were not reasonably foreseeable at the time that it entered into this Contract. Please note that, unless it is agreed otherwise, Northlands Farm's total financial responsibility to you in respect of any function shall not exceed 100% of the total charges, even if the loss you suffer is more than this. If you wish to arrange additional protection in the event of things going wrong please speak to your appropriate insurance specialist. Nothing in this agreement excludes Northlands Farm's liability for death or personal injury caused by Northlands Farm or for fraud. Nothing in this agreement affects your statutory rights. Please speak to your citizens' advice bureau if you would like further information as to your statutory rights.
22. Insurance. For a Wedding Reception Event, it shall be regarded as an essential pre-condition of the hire that appropriate wedding insurance is purchased which specifically covers the hirer for any losses due to a forced cancellation of the event and any losses as a result of disruption during the event. The hirer is to provide evidence that a policy has been taken out and the premium paid prior to the Date of Hire.
23. Contractors/Suppliers: The Hirer is responsible for any damage caused by their contractors or subcontractors regardless as to whether Northlands Farm has approved/recommended them or not. It is advised that Hirers agree the terms and conditions of supplying products and services with each such contractor. The Hirer is to ensure that their contractors are aware of and abide by the restrictions set out in this contract. Only contractors who have been pre-approved by Northlands Farm in writing will be able to operate within the Property. Please note that, where Northlands Farm provides a recommendation or suggestion as to potential third party service providers, you should check that those service providers are suitable as Northlands Farm will not be liable for those third party service providers. Please speak to Northlands Farm about any contractors that you wish to use.
24. Complaints: Should you have any complaint or query about the hire of the venue, please let us know at the time of occurrence and confirm this in writing within 7 days following the relevant incident.
25. Restrictions: Whilst we endeavour to provide exclusive use of the grounds at Northlands Farm during an event, the house and garden in front of the house remains strictly private. In addition, unless the hirer has booked all available on-site accommodation, there may be other guests staying at Northlands Farm.
26. Personal: This agreement is personal to the Hirer who shall not be entitled to assign, sub-contract or otherwise transfer its obligations under this contract to anyone else. Other than Northlands Farm, a person who is not a party to this Contract has no right to enforce any term of this Contract.
27. Changes: Any changes to this Contract, once signed, must be made in writing and agreed by both parties.
28. No tenancy: This Contract is for the period of hire only and is not intended to create a tenancy or lease, nor any continuing rights.
29. Severability: If any provision of this contract is deemed unenforceable by any competent body this shall not affect the remainder of the contract.
30 Governing Law: This Contract shall be governed by the laws of England and Wales. Both parties agree to submit to the non exclusive jurisdiction of the courts of English and Wales. Additional terms of hire
31. The function shall be by private invitation only.
32. For health, safety and security reasons the numbers of guests agreed within this contract must not be exceeded, unless written agreement is received from Northlands Farm. A full list of all attendees, including contractors, staff and invitees, must be provided to Northlands Farm no later than 28 days prior to the function.
33. The Hirer, its contractors, staff and invitees shall comply with all health, safety and emergency procedures and instructions notified by Northlands Farm. If a marquee or any other external equipment is brought onto the Property they must be situated in areas designated by Northlands Farm and removed no less than 3 days after the event.
34. No electrical equipment shall be fixed or installed at the Property without the approval of Northlands Farm and all portable equipment must have a current test certificate (Portable Appliance Test). Any freestanding equipment should be of a sturdy construction. The Hirer shall ensure that the electrical system (if applicable) of the Property is not overloaded.
35. The Hirer shall not issue, publish, display or erect any advertisement, sign, poster, programme or literature without the prior written consent of Northlands Farm. No such material shall be authorised where it is reasonably considered by Northlands Farm to be in bad taste, obscene or harmful to the reputation of the Property or Northlands Farm. The Hirer shall not be entitled to the use of the name “Northlands Farm” or its associated logo without the prior written consent of Northlands Farm.
36. The Hirer shall not use the Venue nor act in any way on the Property in such a way as to cause any nuisance, damage, disturbance, annoyance, inconvenience or interference to any adjoining or neighbouring property or to the owners, occupiers or users of such adjoining or neighbourhood property.
37/ Parking areas for contractors, suppliers and guests must be strictly adhered to, so that access is available to emergency vehicles at all times. A schedule may be required detailing arrival times, size of vehicles etc for all suppliers at least 28 days in advance of the Function.
38. Music is only allowed where this has been previously agreed in writing by Northlands Farm and shall be subject to restrictions as to amplification and times. Any breach of this provision may cause Northlands Farm to bring the function to an end. The Hirer shall be responsible for ensuring that any relevant Performing Rights Society fees are paid and any TENS licence required. All amplified voices and music must be booked with and connected to the Northlands Farm sound system (which includes speakers) and you agree that Northlands Farm have absolute discretion to limit the volume (We will provide a quote for amplification separately). In addition, Bands and DJ’s can be booked only though Northlands who are partnered with Toast Functions www.toastfunctions.com.
39. The Hirer shall permit Northlands Farm or the police/regulatory authority or their authorised agents to visit all parts of the Venue at any time and for any purpose.
40. The Hirer will ensure that the Property’s ‘No Smoking’ rules are observed, and only permit smoking in the designated area.
41. The Hirer must not permit any unlawful or political activities to be carried out at the Property.
42. No food or drink shall be brought to the Property other than by an approved caterer to the agreed designated areas.
43. The Venue will be left clean and tidy and in the same condition as before the function. The Hirer shall not make any changes or additions to the Venue of any kind. Where the Venue is left in an unsatisfactory condition Northlands Farm shall be entitled to levy a Surcharge.
44. There is deep water and live animals at Northlands Farm and the Hirer must ensure that any children attending the function are kept under careful supervision.
45. No furniture or other Northlands Farm contents within the Property may be moved unless by prior written agreement. Northlands Farm will provide guidance on the location of furniture or equipment brought onto the Property. Equipment is not permitted to be physically attached or taped to exhibits, trees or interior surfaces including floors.
46. Accidents and damage must be reported to the Northlands Farm representative immediately so that appropriate action can be taken to minimise permanent damage, and the Hirer must sign an Accident Damage Report form before they leave the Property.
47. The Hirer shall not authorise or permit any recording or broadcasting of the function, other than for personal use, nor transmit, or reproduce by film, video or television or any other means without the prior written approval of Northlands Farm. No commercially available films or videos may be shown without Northlands Farm’s prior written consent.
48. Any item brought into the Property shall be the entire responsibility of the Hirer.
49. As there are farm animals present, loud noises including firecrackers, fireworks, starter guns, blank firing guns and any other explosive goods are strictly not permitted.
50. To comply with local environmental protection and conditions of the council, please note that Carriages should aim to be 11:00PM and concluded by 11:15PM at the latest.
51. Due to prior reservations, you agree to move the dates of your event should your booking date fall upon a Goodwood FOS or Goodwood Revival weekend.
52. You acknowledge that Northlands Farm is not a licensed wedding venue and is only available for receptions and non licensed event activities (e.g blessings etc)
